1. Short Details

A five-Zap client onboarding system connecting CRM, forms, document storage, email, and calendar scheduling. HubSpot serves as the source of truth, with manual approval checkpoints for document review and onboarding completion.

2. The Problem

Client onboarding required multiple manual handoffs across CRM, email, document collection, and meeting scheduling. This created risks of missed steps, duplicate actions, inconsistent records, and limited visibility into onboarding progress.

3. The Workflows

Zap 1 — Start Onboarding

Starts onboarding from HubSpot, creates the client Drive folder, sends the personalized Tally link, and notifies Sales Admin.

Zap 2 — Process Client Requirements

Processes Tally submissions, uploads required documents to Drive, updates HubSpot, and moves the client to Ready for Review.

Zap 3 — Approve Onboarding

Starts kickoff coordination after Sales Admin manually approves the client's onboarding requirements.

Zap 4 — Kickoff Scheduled

Detects confirmed kickoff events in Outlook Calendar and updates the HubSpot Deal with the kickoff status and date.

Zap 5 — Complete Onboarding

Finalizes onboarding after the kickoff is completed and records the successful automation state in HubSpot.
